What is a CRM?

Definition

A CRM, short for customer relationship management, is software that keeps every lead and customer in one place: their contact details, what they asked for, every conversation and the next step. Instead of names scattered across sticky notes, texts and inboxes, you see who needs a reply, a quote or a follow-up today.

What a CRM does for a small business

Most small businesses don't lose work because they're bad at the job. They lose it in the gaps: a quote nobody followed up, a caller who was promised a callback, a past customer who'd have booked again if anyone had asked. A CRM closes those gaps by showing every open lead and what happens next.

The core is simple: a list of contacts, a history for each one, and a pipeline, which is a row of stages like New, Quoted, Won and Lost that each lead moves through. You don't need an enterprise system with a hundred fields. If you have more leads than you can track in your head, or more than one person answering them, you need some kind of CRM.

For roofing companies, the stages might run inspection booked, estimate sent, insurance approved, job scheduled, which shows how many storm leads are stuck waiting on an adjuster. For law firms, it follows each inquiry from first call to consultation to signed client, so nobody slips through between court dates. For contractors, it keeps a remodel lead warm through the months before the owner is ready to start.

How to start with a CRM

  1. Put every lead in one list, whether it came by phone, form, email or referral.
  2. Set four to six stages that match how you actually win work.
  3. Give every open lead a next step and a date.
  4. Review the list at the same time every week.
  5. When you lose a lead, note why, so patterns show up.
  6. Ask past customers back: they already know your work.

How Future handles it

Every Future plan includes Contacts. Each form request lands there by itself, with tags, a record of what the person agreed to receive, and, with visit paths on, the pages they viewed before asking. There's no limit on forms or contacts, and your customers' details stay yours to export any time.

Premier adds the CRM pipeline itself: each lead moves through stages you name, from first request to signed job, with the next step in view, plus unlimited automations.
