What is a no-show fee?

Definition

A no-show fee is a charge a business makes when a client misses a booked appointment without canceling in time. The amount and the notice period are set in a policy the client agrees to when they book, usually with a card saved on file or a deposit taken up front.

Why it matters to an appointment business

An empty slot is time you can't sell twice. For a solo stylist or a small practice, a couple of no-shows can wipe out a morning's income. A fee, or a deposit you keep, makes clients take the booking seriously and covers part of the loss when they don't come.

A deposit and a no-show fee aren't the same thing. A deposit is paid at booking and comes off the final bill; if the client doesn't show, you keep it. A no-show fee is charged only after a missed visit, usually to a card on file. Deposits are easier to collect; fees can feel friendlier to first-time clients.

For hair salons, long color appointments are where a deposit earns its keep. For dental practices, many offices start with reminders and a written policy, and charge only repeat no-shows. If you take insurance, check your plan contracts and your state's rules first: some limit or forbid charging certain patients, such as those on Medicaid, for missed visits.

Reminders do part of the job before any fee does. In a randomized trial of 54,066 patients, two reminders (three days and one day before) cut missed appointments to 4.4%, against 5.3% with one reminder the day before. That study was published in the American Journal of Managed Care in 2018.

How to set a no-show policy

  1. Decide between a deposit at booking and a fee charged after a missed visit.
  2. Set a notice window, such as 24 or 48 hours, that fits your schedule.
  3. Choose an amount that covers your lost time without feeling like a penalty.
  4. Show the policy on your booking page, before the client pays or confirms.
  5. Repeat it in the confirmation message and in the reminder.
  6. Decide how you'll treat real emergencies, then apply the policy the same way to everyone.

How Future handles it

On Pro and Premier, Future's online booking can take a deposit when a client books, or save their card with their consent and charge a no-show fee if they miss the visit. Put your policy on the booking page, so clients see the rule up front and there's no awkward conversation later.
